How to invite team members, understand role permissions, and manage access across your stores.

Premium plans include team collaboration features, allowing multiple people to manage your menus. This guide covers inviting team members and understanding role permissions.

Team invites are a Premium feature. Free plans are limited to a single user. Upgrade at any time from your account settings.

Overview

Trikome's team system works at the store level. Each store can have:

  • One Owner (account holder with billing access)
  • Multiple Managers (full store management)
  • Multiple Employees (limited access)

Team members can be given access to specific stores, useful for multi-location brands.

Role Permissions

Owner

The account owner has full access to everything:

Manage products, collections, menus
Manage devices
Invite/remove team members
Access billing and subscription
Create/delete stores
There is exactly one Owner per account. Ownership cannot be transferred without contacting support.

Manager

Managers can run day-to-day operations but cannot access billing:

Best for: Store managers, shift leads, trusted staff who need full menu control.

Employee

Employees have read access and limited editing:

Best for: Staff who need to update product info (prices, availability) but shouldn't change menu structure.

Inviting Team Members

To invite someone to your team:

  1. Go to AccountTeam in your dashboard
  2. Click Invite Member
  3. Enter their email address
  4. Select the role (Manager or Employee)
  5. Select which stores they can access
  6. Click Send Invite

The invitee will receive an email with a link to join.

What Happens After Invite

  1. Invitee receives email with join link
  2. They create a Trikome account (or sign in if they have one)
  3. They're added to your team with the specified role
  4. They can now access the stores you selected
Invitations expire after 7 days. If the invite expires, send a new one.

Managing Team Members

Viewing Your Team

Go to AccountTeam to see:

  • All team members and their roles
  • Which stores each member can access
  • Pending invitations

Changing a Member's Role

  1. Go to AccountTeam
  2. Click on the team member
  3. Select a new role
  4. Click Save

Role changes take effect immediately.

Changing Store Access

  1. Go to AccountTeam
  2. Click on the team member
  3. Check/uncheck stores to adjust access
  4. Click Save

Removing a Team Member

  1. Go to AccountTeam
  2. Click on the team member
  3. Click Remove from Team
  4. Confirm the removal

They will immediately lose access to all stores.

Multi-Store Access

For brands with multiple locations, team access can be configured per store:

Example Setup:

This allows regional managers to handle their locations without affecting others.

Switching Between Stores

Team members with access to multiple stores can switch using the store selector in the dashboard:

  1. Click the store name in the header
  2. Select a different store
  3. The dashboard updates to show that store's content

Best Practices

Principle of Least Privilege

Give team members only the access they need:

  • If someone just updates prices → Employee role
  • If someone builds menus and manages displays → Manager role
  • Reserve Owner access for business principals only

Regular Access Review

Periodically review who has access:

  • Remove departed employees promptly
  • Downgrade roles when responsibilities change
  • Check that store access matches current job duties

Separate Personal and Shared Accounts

Each person should have their own account. Avoid sharing login credentials:

  • Shared logins make audit trails useless
  • You can't remove access granularly
  • Password changes affect everyone
Never share your Owner account credentials. If you need someone to have full access, make them a Manager.

Troubleshooting

Invite email not received

  1. Check spam/junk folder
  2. Verify the email address was entered correctly
  3. Ask the recipient to add noreply@trikome.co to their contacts
  4. Resend the invitation

Team member can't see a store

Check that:

  • They were given access to that specific store
  • They're signed into the correct account
  • Their role wasn't recently changed

Can't invite more members

Verify your subscription:

  • Free plans don't include team features
  • Some Premium plans may have member limits
